What we collect
- From our clients (the businesses that hire us): business name, contact names, email addresses, the phone numbers that should receive alerts, and the forwarding and hours settings you give us.
- From callers to a client's line: the caller's phone number, what they say on the call, and the details our receptionist asks for (the job, urgency, address, budget). Calls are recorded and transcribed so that the client receives an accurate lead and so we can fix mistakes.
- From this website: nothing beyond what your browser sends to load the page. We run no analytics or advertising trackers.
How we use it
To deliver the service: answer calls, send the lead to the client by text, phone and email, keep a record of calls for the client, bill the client, and improve the receptionist's scripts. Call recordings and transcripts are kept for the client's account and deleted on request or when the account closes.
Who sees it
Your client's lead goes to that client and nobody else. We use service providers to run the phone line, the AI voice, email and text messaging; they process the data on our behalf under their own terms and do not use it for their marketing. We do not sell personal information. No mobile information, SMS opt-in data or consent records will be shared with third parties or affiliates for marketing or promotional purposes. We disclose information only when the law requires it.
Text messages
SMS alerts go only to client business owners and staff who explicitly opt in during service signup, either in the SMS consent section of our contract or by expressly agreeing during an onboarding call. We collect the recipient's name, mobile number, consent choice, date and method. For paper consent we retain the signed section; for verbal consent we retain a dated record of the disclosures, the recipient's affirmative response, and the person collecting it. Signing the general service agreement or providing a mobile number alone does not enroll a recipient in SMS alerts. Message frequency varies with call volume and account activity, typically one alert per call handled. Message and data rates may apply. Reply STOP to stop or HELP for help. Your choices
Clients may change or remove alert numbers, ask for their call records, or close the account at any time by emailing northwoodscalldesk@gmail.com. Callers who want a recording deleted may ask the business they called or contact us at the same address.
